Renewal Information

All coaching licenses can be renewed online!   There are some limitations, but if you login to your USA Cycling account and click on the LICENSE tab (under your welcome header), you will see your coaching license status.  If it says RENEW, then your Criminal Background Check (CBC) and CEU are current.  However, keep in mind that your CBC expiration date could be coming up.  With all licenses (regardless of term), any background check which expires during the term of the coaching license, the coach will have 30 days to renew the background check. Any coach who does not bring his/her background check current during the 30 day period, will have their coaching license suspended until the background check is brought current.

If you are renewing your license, please follow these steps:
           
RENEWING ONLINE, your CEUs and Background Check must be current to renew online.
  1. Check your account to confirm the status of your CEUs and Background Check. Do this by logging into your USA Cycling Account. Once in your account, click on “license” (below the “Welcome” header) and scroll down to your coaching license status.
  2. If your CEUs are not due until 12/31/14 and your Background Check is current, then please proceed to renew your license online.
  3. If your CEUs were due 12/31/13 (or earlier), please submit your CEU Report Form. If you have 40+ CEUs, your account will be updated promptly. If you have less than 40 CEUs, please refer to the chart for CEU recertification on our CEU policy page. Once you have taken care of your CEU recertification, please email coaches@usacycling.org your CEU Report Form and notice that you have fulfilled the CEU requirements and your account will be updated promptly.  If your Background Check is also current, then please proceed to renew your license online.
  4. If your Background Check has expired, you will need to bring this current to renew online. You can do this by following the Criminal Background Check Procedure.
To summarize, in order to renew your coaching license online, your CEUs and Background Check must be current. If they are not, you will not be able to renew your coaching license online.

  1. If your CEUs were due 12/31/13 (or earlier), please submit your CEU Report Form with your application. If you have 40+ CEUs, your account will be updated promptly. If you have less than 40 CEUs, please refer to the chart for CEU recertification on our CEU policy page. Once you have taken care of your CEU recertification, please email coaches@usacycling.org your CEU Report Form and notice that you have fulfilled the CEU requirements and your account will be updated promptly. 
  2. If your Background Check has expired, you will need to bring this current to renew your coaching license. You can do this by following the Criminal Background Check Procedure.
 
To summarize, if you are submitting your coaching license renewal via fax, email or regular mail, complete your coaching license application and submit to USA Cycling Coaching Education. Please keep in mind, no license application can be processed unless both your CEUs and Background Check are current.


WHAT DO YOU OWE?
Everyone pays either the annual coaching license fee of $95 or the 2-yr fee of $170, only those whose CEUs are due (12/31/2012) need to worry about sending in the CEU Summary Report or the re-certification fee (if applicable).  Re-certification is done every other year. Please do not send the CEU report form until it is due.

2010 License Holders

First, check the  CEU policy and approved programs as often people neglect to count activities that count.  For instance, becoming a level 3 coach in 2010 counts as CEUs.  

The time period for CEUs is 1 January 2010 through 31 December 2011.  See CEU Policy FAQ in the previous link!

Second, what you need to do is dependent on 2 things: 1) your current coach license level and 2) the number of CEUs you did accumulate.  

The table below shows the recertification requirements for each level.  You can pay the recertification fee through your MYUSACYCLING account, VIEW AVAILABLE CLINICS.  See the next FAQ for that information.  
Everyone must also pay the annual license fee ($85 for 2012).

You are not required to purchase the new level 3 coaching manual (Introduction to Coaching Cyclists) in order to take the exam; however, the material on the exam is based on this manual.  Some materials are available through the COACHING LINKS.

You should also make sure that your criminal background check is up-to-date.

So a level 3 coach with 25 CEUs would need to pay $20 (plus the annual license fee) and pass the level 3 exam again.

Effective January 1, 2012, coaches did not have a valid license in 2011 but wish to re-certify will need to do the following

Level 3              Pay the $35 recertification fee and pass the current level 3 exam 
Level 2              Pay the $149 recertification fee and pass the current level 2 exam
Level 1              Pay the $249 fee (no re-exam required)

2011 License Holders

If neither the CBC or CEU report form is due, the easiest way to renew is online.  Click on Sign In at the USAC website. Sign in, click on My USA Cycling, Click on the LICENSE INFO tab, scroll to COACH and select RENEW.  Follow the instructions from there.  (You can also click on Renew License from the HOME TAB, but it is less direct.)

You can also complete the coaching license application and mail/fax/scan it in if you wish.  Mailing/scanning/faxing information is on the form.  
Criminal background checks (CBCs) are good for two years.  The date you see is the date it was last updated.  You will need to complete the criminal background check as described on the USAC website.   Basically go to NCSI website and use the self-registration number (95099494) follow the instructions from there.

Once you have completed the criminal background check, you will need to check back with NCSI to see the status.  Once you receive a "green light", notify the USA Cycling Coaching Education Director so that your membership account can be updated.  You must notify USA Cycling as we are not notified when a screening is completed.

If your CBC is about to expire, you can go ahead and update it using the procedure described above.  It must remain current or your coaches license will be suspended.

If you have a background check done for USA Triathlon, USA Cycling accepts it. You must go to NCSI and login and then release the information to USA Cycling.  When you login, respond "NO" to being a new applicant and then go from there.
Congratulations on accumulating the 40 CEUs and earning the *Distinction designation that will appear on your coaching certificate (available from the COACHING LINKS on your MYUSACYCLING account page).  If you want to renew online (and your CBC is up to date), you can mail/scan/fax in the CEU Summary Report Form.  Once USAC has it an approves the CEUs, your account will be updated.  You will see that the message on your LICENSE INFO page has gone when the system is updated.

You can pay the recertification fee online.  Login to your MYUSACYCING account, under VIEW AVAILABLE CLINICS.  Select the appropriate payment option for your level and number of CEUs accumulated.  If you are claiming to have earned 20 to 39 CEUs, you must also send in your CEU Summary Report Form showing the CEUs earned in order to qualify for that recertification fee.  If you have fewer than 20 CEUs, no need to send in the form.

To access the exam online, login to your MYUSACYCLING, click on COACHING LINKS.  The test should appear there.  If it does not, contact the Coaching Education Director to gain access to the test.  It might not appear if you were certified in the days before the online testing.  

The test is based on current materials.  There is no requirement to purchase the current materials or attend a clinic.  However, you are responsible for the information taught at each level.

General Topics

The website is www.ncsisafe.com and the self-registration number is 95099494.The applicant is responsible for all charges associated with the criminal background check.  For more information, see the instructions on the USAC website.
USA Cycling can only take criminal background checks from its designated provider.  

If you completed the criminal background check for USA Triathlon, you will need to release that background check to USA Cycling.  The instructions for releasing the background check can be found at the USAC website.
If you have previously passed the level 3 or level 2 exam online and the test is over one year old, you should be able to access it from your MYUSACYCLING>COACHING LINKS page.

If it is not available, then contact the Coaching Education Director with your name, license number and your current or most recent coaching level so that the test can be made available to you.
Go to your MYUSACYCLING account, click on the License Info tab, scroll down to coaches license.  You will see if you can renew online and, if not, what you need to do to be able to do so.

If your criminal background check is current and your CEUs are not due, you can access the online application by going to MYUSACYCLING>LICENSE INFO>COACHING to renew.

Once you have completed all the requirements for renewal (criminal background check, CEU Report Form, or recertification fee/exam), notify the Coaching Education Director.  Once these items are verified and the database is updated, you will be able to pay for your coaching license online.
Coaches are required to accumulate 40 approved continuing education units (CEUs) over a 2 year period.  That 2 year period starts with the year in which your coaches license first expires.  So if you take out a coaching license in March 2011, your CEU cycle ends December 31, 2012.  You can count activities completed in 2011 prior to earning your coaching license toward the 40 CEUs.  The CEU cycle does not re-start when you upgrade the coaching license.

You can look at MEMBER RESOURCES>COACHES>Renewal Information, or simply click here.  Basically you are looking to see if your criminal background check and CEUs are due.

You can also go to your MYUSACYCLING page and click on License Info.  Under the Coaching license section, it will show what is needed to renew.  If nothing is listed and the RENEW button is active, then you can go ahead and renew online.  (Please note that the CEU due date and CBC date will be displayed on the License Info at some time in the future).

Prior to 2010 License Holders

If the coaches license exipred between 2005 and 2009, you can do the following:

Level 3              Pay the $35 recertification fee and pass the current level 3 exam 
Level 2              Pay the $149 recertification fee and pass the current level 2 exam
Level 1              Pay the $249 fee (no re-exam required)

If the coaches license expired prior to 2005, you will need to start over as a level 3 coach.  Please see Steps to Becoming a Coach.

Too much of the coaching certification and education program has changed since 2004.
